Your Books Are a Mess. Here's What to Do Next

If you've opened your Xero (or QuickBooks, or that shoebox of receipts) and felt your stomach drop — you're far from alone. Disorganised books are one of the most common things we see, and the good news is they're completely fixable. Here's how to approach it without the panic.
First, don't panic — this is normal
Behind-the-scenes mess doesn't mean you've failed at business. It usually means you've been busy running one. The ATO isn't expecting perfection in real time; it's expecting accurate records by the time things are due. There's almost always a path back to order.
Step 1: Gather everything in one place
Pull together your bank statements, credit card statements, loan documents, invoices issued, bills received and any payroll records. Get digital where you can — bank feeds and a receipt-capture app will save you hours and form the backbone of clean books going forward.
Step 2: Reconcile from a known-good point
Find the last date your accounts were definitely correct and work forward from there. Reconcile each month in order — matching every transaction in your software to your actual bank statement. This is the single most important step: once everything reconciles, your reports become trustworthy again.
Step 3: Fix the coding
As you reconcile, make sure each transaction is allocated to the right account and the GST treatment is correct. This is where most errors hide, and it's what makes the difference between a BAS that's right and one that quietly overstates or understates what you owe.
Step 4: Bring your lodgements up to date
Once your books are reconciled, you can prepare any outstanding BAS or tax lodgements accurately. If you're behind, a registered BAS or tax agent can help you catch up and, where needed, liaise with the ATO about overdue obligations.
Step 5: Put a system in place so it never happens again
The reason books get messy is almost always a lack of routine, not a lack of effort. A weekly 30-minute reconciliation, automated bank feeds, and a clear filing habit will keep you on top of it permanently.
